Announcing TWO new ways to let students know about the rotations you offer.
#1 – Submit a PowerPoint slide for inclusion in our ROTATION EXPLORATION Packet
Submit a 1-page PowerPoint slide about your program by August 15. We will then combine the slides into an easy-to-read packet of information and post it for students.
The goal of this packet is for increase student interest in more sites. The slides are not meant to include every detail about the rotation. Think of these 1-page slides as a “teaser”. A clickable table of contents will be included so students can easily peruse different sites. Students will be encouraged to learn more about the sites via the clerkship database. PowerPoint sides will only be accepted if these requirements are met:
- One slide per rotation site/type. For example “ABCD Pharmacy – Outpatient” or “ABCD Pharmacy – Geriatrics” can be 2 separate slides or you can combine sites by subcategory or combine sites by location but we will only allow one slide per site “Type” or Site ID.
- Include your Site ID on your slide if you know it. Your Site ID can be found at the top center of the page when you Click on “Update Description.” This will help students locate the correct site when they choose a rotation. Contact Julie Ethridge at Julie.Ethridge@wisc.edu if you can’t find your Site ID(s).
- Slides must be landscape orientation only
- Images are allowed in slides (and generate interest!)
- Please be cognizant that students may be viewing these slides on their phones
Please make sure the full site name and Site ID’s are included on the slide. {example: ABC Pharmacy – Hospital Pharmacy 1234). This helps the students locate the correct site when choosing rotations.

#2 Add a video to your Site Description in the Clerkship Database
Yes, you can add video links to your site description! However, before a video can be linked to School of Pharmacy server, it requires 3 things:
- The site must own the copyright to the video
- The site must have permission from the video subjects to use their image(s)
- Closed captioning must be included
Please also note:
- No videos will be housed within School of Pharmacy servers. Videos and other materials can only be LINKED to our website.
- It is very important for the video to be housed on a site that provides video streaming services (YouTube is one popular option, but there are others). Using a streaming service decreases the chances of slow internet connections.
- We recommend that videos be under 2 minutes in length. If you have more content, consider breaking down a longer video into smaller ones and naming them appropriately so that students can easily find the content they are searching for.
- We strongly encourage you to review your video content regularly. Refrain from using dates in your videos. Outdated information can deter students from picking your site.

Directions for adding a linked video to your site description:
Please note that only Site Coordinators can edit the site description fields within the Clerkship Database.
- From the Experiential Education Webpage, click on the ‘Intranet Login’ button at the top.
- Click on ‘Clerkship-Clin Instructor’.
- Looking in the ‘Edit Site Description’ section, click on the site you wish to update.
- Any description boxes with the editing tool bar can contain links to documents or videos.
- Click on the Link icon to add or delete links.
- When the box pops up, fill in all the fields. In the ‘Target’ field, select ‘New Window’ from the drop-down menu.
- Click OK and Save your changes. You will see a message that your site description is under review. Your updated site description will need to be approved by Experiential Education staff. Please email Julie.Ethridge@wisc.edu after you submit your changes to your site description. We usually approve site descriptions within 24 hours.
